Job SummaryThe Payroll Specialist ensures accurate processing and recording of the Company’s payroll, provide timely and accurate financial information, participate in daily data entry and payroll processing. Assist new Supervisors and Managers on timecard and report procedures. Process reports for upload to outside Benefit Vendors.Primary Functions:Perform daily operations for bi-weekly payroll.Stay up to date on changes in State Pay/Tax Laws.Use good judgment, discretion, and confidentiality of sensitive information regarding pay information.Help with any special projects related to new companies, acquired companies, and changes in ADP.Manage and research payroll data to ensure all payroll transactions, changes and corrections are processed accurately and timely.Execute timecard and attendance processing and interface with payroll.Prepare manual check data with ADP and coordinate with AP for processing and distribution.Review payroll information prior to submitting payroll and validate confirmed reports.Understand proper taxation of employer paid benefits.Forward new garnishment orders to ADP for processing and insuring all garnishment information is correct.Work with GL Department on compliance for unclaimed property payroll checks.Process financial and operational reporting as needed to GL Department for wire transfer of funds for payroll.Process reports for upload of import files for deposit and payments for HSA and 401(k). Send information to GL Department for funds transfer.Send explanation of payroll information to the GL Department for help with their GL processing.Complete monthly and quarterly wage reports to the Department of Labor for States that require wage information on team members working in their state.Respond to all Team Member’s questions. Research and email appropriate TM’s with ADP questions, file issues, pay check and PTO problems. Provide payroll information by answering questions/requests and resolving escalated payroll discrepancies.Audit Team Members PTO for accuracy.Complete all VOE, unemployment, and garnishment request forms.Ensure that accurate and timely year-end reporting is completed (W-2, W-2c, etc.). Education and Years of Experience:High School Diploma or equivalent required.Associates Degree or Bachelor’s Degree preferred.Minimum 4-6 years of experience processing multi-state payroll.Certifications, Licenses, Credentials:CPP preferred but not required. Knowledge, Skills and Abilities: Knowledge of federal and state wage and hour laws.Working knowledge of best payroll practices.Strong PC skills including proficiency in Excel.Working knowledge of ADP Workforce Now.Ability to deal sensitively with confidential material.Strong interpersonal (verbal and written) communication skills.Organizational, multi-tasking, and prioritizing skills.Must deal effectively with demanding and stressful situations.Ability to work independently and meet competing deadlines.Ability to work effectively with all levels of the organization.Ability to push back and pester nicely.Physical Requirements (lifting, etc.):Periodic lifting up to 10 pounds.Sitting for long periods of time.Use of hands for computer work.Periodic standing, walking, reaching, and bending.
