The person is the liaison to the client responsible for receiving, processing, revising and completing all incoming requests for additional services from various stakeholders group within the client's organization. In addition, the successful applicant will need to review, maintain and update certain databases, processes, and data entry skills are important. Organizational skills are at a premium in this position, but just as important will be the applicant's ability to convey accurate information and to adapt to changing conditions. The ideal candidate must have great interpersonal and communication skills with the ability to work in a fast paced and dynamic work environment. The Department Coordinator reports directly to the Operations Manager.Specific Duties and ResponsibilitiesEssential Job Functions:Maintain and distributes security education materials and communications from security management teamMaintain pertinent records of security management team expenses, purchase orders, and expense reportsProcesses source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the team leader for resolution.Conduct quality control and assurance of all incoming service requests for completeness, accuracy and conformance to established standards and protocolsSupport security management team on projects along with relevant security recordsManage working relationships with interdepartmental groups, security staff, and all associated vendor servicesManage parking permit issuance and collection processCompile information and provide weekly communication updates for security management team.Maintains operations by following policies and procedures; reporting needed changes.Maintains customer confidence and protects operations by keeping information confidential.Contributes to team effort by accomplishing related results as needed.Additional Job FunctionsPerform other related duties as required.Minimum Qualifications and RequirementsHigh School Degree required; AA degree in Business Administration preferred3- 5 years of administrative experience in a fast paced and dynamic work environmentMust have extensive knowledge and proficiency with software programs such as Excel, Word, Keynote, Pages, Numbers and other Office Applications in a MAC OS environmentMust be able to resolve customer issues in a timely manner through alternative solutions or group problem solvingMust be able to write clearly and informatively with the ability to read and interpret written informationMust be able to communicate accurate and timely recommendations on business and scheduling related risks or actions required with solid attention to detailAbility to multi-task and be very detail-orientedAbility to adapt in a fast paced, high demand and dynamic work environmentReliability and dependability in terms of job attendance and performanceA very detail-oriented, thorough and well-organized personPatience, persistence, and excellent communication skillsWhat we can offer:$24.00/HRHealth, Dental and Vision benefits, plus access to dependent coverage and a variety of other benefitsEligibility to contribute to a 401k Plan after the first year of employmentPaid Time OffA dynamic and challenging work environment
